Strong Beginnings was drowning in spreadsheets, scattered emails, and manual tracking systems. This chaos slowed operations, created data silos, and made leadership have to manually dig to find real-time insights.
The Challenge
Strong Beginnings struggled with managing its client waitlist using a complex Google spreadsheet that required manually moving clients to an active list later and lacked a space to input key points of info that were easily missed without required input prompting.
This process was error-prone, difficult to track, and made it hard to know each client’s exact place on the waitlist. There was also an unmet need of a place to digitally upload referrals and other relevant client intake info for later reference.
Additionally, tracking staff training certifications and insurance authorization renewals was manual and inconsistent, risking lapses in compliance and delays.

Architected a centralized ClickUp database that streamlined waitlist management and client intake, eliminating manual transfers and providing real-time status visibility.

Automated tracking of staff training certifications and insurance authorization renewals with scheduled email reminders sent at 60 days, 30 days, and on the deadline to ensure timely renewals.

Built a custom applicant portal with automations to simplify hiring workflows and reduce manual follow-ups.
